Pair the flow and head request
Provide the required flow and head together for each operating scenario rather than submitting separate maxima. Identify the process stream, transfer route and project drawing associated with that pair. Ask the supplier to respond to the paired request with the proposed pump configuration and the document that your project specialist can use to review its selection.
Keep normal operation and other requested operating scenarios in separate worksheet rows. Identify which conditions are measured and which remain project estimates, and attach the calculation or observation record where available. Ask the supplier to state which row its response addresses and to identify any additional information needed before a proposed duty can be assessed.
Attach the transfer system description
Submit the system drawing used to prepare the head requirement, including the relevant source and destination references. Identify the project team responsible for that requirement and the revision of the drawing under review. Ask which additional route, connection or level information the supplier needs to respond to your stated duty point.
Keep the system information linked to the same flow request throughout the purchasing correspondence. If your project changes the transfer route or operating requirement, issue a revised worksheet and ask for a response against that revision. Request clarification wherever a supplier proposal refers to a route or condition different from the drawing submitted with the enquiry.
Describe the slurry at the requested duty
Attach the slurry description that applies to the requested flow and head, including the available sample report and the measurement basis for any submitted concentration. Identify the sampling location and describe known variation in the stream. Ask the supplier which additional slurry information it needs to review the proposed pump against that duty.
Keep different slurry conditions in separate entries when they belong to different process scenarios. Avoid applying a sample description from another stream without asking your project specialist to review its relevance. Request a written supplier response about the conditions assumed in its proposal, and ask for clarification if the proposed duty uses a different slurry description from your enquiry.
Match the curve to the proposed configuration
Request the performance curve associated with the exact pump configuration proposed for the paired duty. Ask for the curve identifier, document revision and test conditions, together with the configuration information needed by your project reviewer. Request an annotation or written reference showing where the supplier has addressed the operating point submitted in your worksheet.
Ask the supplier to explain any difference between the designation on the curve and the designation in the quotation. Keep curve documents for alternative configurations separate so that the purchasing comparison does not combine unrelated entries. Refer the returned curve and its conditions to your responsible project specialist, and request the missing document before accepting an incomplete response.
Separate alternative operating scenarios
Prepare a separate requirement row for each requested operating condition, identifying the associated slurry description and transfer arrangement. Ask the supplier whether its proposed configuration addresses each row and which rows require another response. Keep any requested alternative visible as an alternative rather than treating it as part of the original duty request.
When comparing supplier responses, use the same scenario references in the quotation worksheet and the project drawing register. Ask for clarification if a proposal responds to only part of the requested operating schedule. Request a revised response when your project changes a duty condition, and retain the earlier version separately so your team can identify which requirement has been superseded.
Approve the duty document package
Collect the paired duty worksheet, the transfer system description, the slurry information and the proposed curve in the same purchasing attachment set. Ask the supplier to identify the quotation configuration associated with that set. Name the project specialist who will review the technical response and identify any commercial questions that remain with the purchasing team.
Request a written answer to every unresolved condition before approving the proposed equipment schedule. Ask the supplier to carry the agreed duty reference into its quotation attachment so that the order discussion uses the same requirement. Confirm minimum order quantity and lead time before ordering, and request separate confirmation of the packaging and delivery terms for the proposed package.
