Define the requested equipment scope
State the transfer task and identify the source and destination on the project drawing. Describe whether the request concerns a complete equipment package or specific replacement items. Ask for an itemized response identifying the proposed pump, drive and accessories, with optional items separated from the scope the buyer has requested for review.
Identify existing equipment intended to remain outside the supply. Keep alternative arrangements under separate references and ask for clarification of any changed equipment boundary. Request the assembly description associated with each option so the project team can compare the proposed scope with the intended installation.
Attach duty and slurry records
Provide flow and head together for each operating case and identify the route drawing used to prepare the requirement. Attach the available slurry concentration definition, particle report and fluid description. Ask for the configuration and performance document addressing the same material and duty references submitted by the buyer.
Describe missing records as questions for further technical discussion. Keep samples and operating cases separated where they represent different conditions. Ask the supplier to identify which requirement entries its response addresses and which need further information before the buyer can review a proposed configuration.
Ask about interfaces and maintenance
Provide the installation layout or sump section with connection positions and access restrictions. Ask for the matching proposed outline and interface drawing. Request the maintenance and component identification documents corresponding to that assembly so the buyer reviewer can connect inspection or replacement questions with the actual equipment under discussion.
For replacement components, attach the pump identity, old item photographs and available assembly records. Ask for the proposed part reference and corresponding drawing. Keep changed components and configuration alternatives separate from the original request until the buyer technical team has reviewed the returned identification documents.
Confirm the commercial questions
Ask for a quotation that identifies the proposed configuration and document references used in the technical response. Request clear identification of included equipment, optional items and requested documents. Keep unresolved duty, material or connection questions attached to the enquiry so purchasing can distinguish an open technical item from a commercial scope question.
Confirm minimum order quantity and lead time before ordering. Request separate confirmation of the packing, handling and delivery terms for the proposed package and intended destination. Ask for revised quotation attachments if the equipment configuration changes so the purchase discussion uses the same current scope as the buyer technical review.
